Introduction

Microsoft Word is a state-of-the-art application program that is capable of several functions, including creating and typing letters, reports, memos, proposals, newsletters, brochures, graphic presentations, Web pages, tables, form letters, and essentially, all the other communication-related functions commonly found in today's businesses.

Accessing Microsoft Word

From the Start menu select Programs. Another menu will pop up, and it is in this new menu that you will find Microsoft Word. Select Microsoft Word to launch the application. You can also select the MS Word icon from the taskbar next to the Start menu: You are now ready to start typing.

Double-spacing and Paragraph Alignment

If you are typing a document that needs to be spaced to a specific setting, go into the Format menu and select "Paragraph". A dialog box will appear. Click on the down arrow of "Line spacing" and select the desired setting. To align to a specific setting, all you need to do is to click a button on the toolbar. The four settings are: left alignment , center alignment , right alignment , and justified alignment. (justified not shown here). Click on the desired setting and your text will be automatically be changed to the new settings. If you need only a part of the text to be altered, highlight the desired text first, and then click the buttons.


Adding Formats to Text (i.e., bold, italics, underline)

Adding formats to text is accomplished by highlighting the text with the mouse or keyboard and performing the desired operation. To highlight text, use the mouse to place the cursor at the beginning of the text, then drag until you reach the end so that the text is "highlighted". By clicking on the appropriate box, (bold), (italics), or (underline), you can alter the text to the desired formats. To undo the formats, make sure that the text is still selected and simply click on the bold, italic, or underline box again.

Adding Page Numbers

To add page numbers to a document, go to the Insert menu, select Page Numbers, and choose the desired settings by clicking on the down arrows. Click "OK" to initiate the operation. This adds page numbers to all the pages of the entire document (you do not need to manually add a number to each page).

Adding Footnotes or Endnotes

From the Insert menu, select Footnote..., and when the footnote window comes up, select the desired setting: footnote or endnote. The cursor will be automatically moved to the note location where the note can be typed in. When the note is completed, click back onto the document to continue on with the text.

Spell and Grammar Checking

The spell and grammar check utilities can be found in the Tools menu. Select Spelling and Grammar or click on in the toolbar (In Word, or any other Microsoft Office application, when you point the arrow at any pictorial button, a little yellow flag will appear that describes its function in a few words). The spell checker will start at the beginning of the document, unless it is told to do otherwise. As the spell checker progresses through the document, it will display a list of suggested corrections to words that it believes to be spelled incorrectly. If the word is spelled correctly, the Ignore button should be pressed. Otherwise, select one of the suggestions from the list and press Change. Another way to correct spelling is to correct the misspelled word directly on the text (you can see misspelled words and incorrect grammar statements directly on the text because misspelled words will be automatically underlined by a red line and incorrect grammar will be underlined by a green line).

Saving, Printing, and Opening a Document

All three of these functions can be found in the File menu.
Save your document before doing anything else to prevent losing it. When you select under the File menu or click on in the toolbar, a window will appear for you to save onto a floppy disk or onto your hard drive. Click on the black down arrow to view the list of save options. If you want to save to a floppy disk, make sure that the disk is in the disk drive, and that "3 1/2 Floppy" drive is selected. If you want to save your document onto your hard drive, select "Desktop" instead of "3 1/2 Floppy". At the bottom of the window, the name of your document ("Doc 1") can be changed by highlighting it, and typing in the desired name. Then click Save to save your document.
To print your document, go back into the File menu and select Print or click on from the toolbar. Press "OK" to print your document (your computer's printing settings should already be configured).
To open an already existing document, select under the File menu or click on from the toolbar. If you are opening a document that is saved on the hard drive of you computer, highlight the appropriate drive in the "Look in" option. If the document is on a floppy disk, make sure you highlight the floppy disk drive (3 1/2 Floppy). Highlight your document by clicking once on the icon. Then click "Open".
